The Ask
A pharmaceutical company was launching a new product and wanted something memorable for their event giveaways. They handed us a rough sketch. Not a finished design. Not a specification sheet. A sketch. The request: Make a custom stuffed animal (stuffie) based on this. Hundreds of units. Ship to Canada. Do it fast. We’d never made stuffies before. We didn’t have an in-house factory. We had a rough sketch and a deadline. Most vendors would have quoted 8-12 weeks and hoped the client wouldn’t ask questions.
We said yes. Then figured out how to deliver.
The Challenge
The Sourcing Problem:

The Execution
Step 1: Vendor Research & Shortlist We didn’t just pick the cheapest option. We researched factories with experience in pharmaceutical/healthcare giveaways. We looked at their portfolios, their quality standards, their turnaround times. We narrowed it down to 3 credible vendors. Step 2: Vetting Process We sent the rough sketch to all 3 with detailed specifications:
- Desired size and weight
- Material quality requirements
- Seam strength standards (durability for giveaways)
- Color accuracy (pharma branding standards)
- Timeline constraints
We asked for references. We checked them. We got samples from the two strongest contenders.
Step 3: Sample Rounds Samples arrived. They weren’t perfect on round one. The proportions were slightly off. The fabric wasn’t quite right. The seams needed reinforcement. We didn’t panic. We worked with the vendor. Round 2 samples came back better. Still tweaks needed. Round 3 was it. We approved and locked production.
Step 4: Managing the Hurdles (Silently) While samples were being made, we hit issues:
- The fabric the vendor wanted to use had a 2-week lead time
- Customs documentation was missing from their initial shipment plan
- The factory had a capacity crunch — they could only do 80% of the order in the timeline
We solved each one:
- Found alternative fabric that was available and met specs
- Coordinated with customs broker to ensure proper documentation
- Worked with the vendor to split production across two facilities to hit full quantity
The client never knew any of this happened. Result:
- Full order produced to spec
- Delivered on timeline
- Quality met pharma standards
- Stuffies were a hit at the event
- Client was thrilled
- Client stress level: zero
